The palette looked right on screen. It looked right in the brand presentation. The colours were confident, considered, on-brand. Then someone printed the report and sent it back with a photo of the cover, and nothing was quite the same.
This is one of the most common and least-discussed problems in organisational communications. Colour that works in one environment fails in another, and the people experiencing that failure often don’t understand why – or assume the printer was at fault.
Usually it isn’t.
Why screen colour and print colour are fundamentally different
Screens emit light. Print reflects it. That difference matters more than most people realise when they’re building a brand.
Screen colour is additive – red, green and blue light combine to create the full visible spectrum. The colours you see on a monitor are made of light, which means they can be vivid, luminous and saturated in ways that are physically impossible to reproduce on paper. Print colour is subtractive – inks absorb certain wavelengths and reflect others, and the starting point is white paper rather than a light-emitting surface.
The result: colours that look sharp and vibrant on screen often look flat, muddy or shifted in print. Bright blues go darker. Vibrant oranges go brown. A teal that reads as sophisticated on a website can read as murky on a printed page.
This isn’t a flaw in the printing process. It’s a physical constraint, and it needs to be designed around – not discovered after five hundred copies have come back from the print run.
The RGB to CMYK problem most brand guidelines ignore
Most brand guidelines specify colours in hex codes – which are screen values – and nothing else. That’s fine for digital output. For anything that goes to print, it’s a problem.
Hex codes translate to RGB values. When a print file is prepared, those RGB values have to be converted to CMYK – the four-ink system used in professional printing. That conversion is not one-to-one. Certain RGB colours, particularly highly saturated ones in the blue-green-purple range, simply cannot be reproduced in CMYK. The conversion produces the closest available equivalent, which is sometimes noticeably different.
If no one has specified the correct CMYK values for your brand colours, the conversion will be done automatically – either by the designer, by the print software, or by the printer. Each will use slightly different settings, which is why the same brand can look subtly different across different printed materials, even when everyone thinks they’re using the same colours.
The fix is straightforward: get your CMYK values specified by someone who knows what they’re doing, test them against an actual printed proof, and put them in your brand guidelines alongside the hex codes. It’s a one-time task that prevents years of inconsistency.
What happens to your charts and data visualisation
The screen-to-print problem is most visible – and most consequential – in charts and data visualisation.
A chart uses colour to distinguish between data series. On screen, those colours might be clearly different: a deep blue and a mid-teal, or a dark orange and a warm red. In print, the same colours can collapse toward each other. Without sufficient contrast between them, the chart becomes ambiguous. A reader trying to match a line to a legend item can’t do it reliably. The data is there, but it’s no longer communicating clearly.
This matters particularly for research organisations and charities that publish findings in report format. If the evidence is in the chart and the chart doesn’t work in print, the evidence doesn’t land. That’s not a small problem. The same issue applies to greyscale – and more documents get printed in greyscale than most people expect. Office printers default to black and white. Reports get photocopied. Presentations get printed for meetings. If your charts rely on colour to communicate, they need to be tested in greyscale before they go out. The low-contrast problem nobody spots until it’s too late
There’s a related issue that’s subtler than the screen-to-print gap, and it causes problems in digital as well as print: low contrast between text and background.
Brand colour palettes are often built around a hero colour – something distinctive and ownable. That colour gets used as a background for pull quotes, callouts, section headers and highlight boxes. On screen, where the monitor is boosting everything with light, the text sitting on that background reads fine. On paper, where you’re relying on ink and reflected light, the contrast is often insufficient.
WCAG 2.2 requires a 4.5:1 contrast ratio between text and background for standard body copy. That ratio is not just an accessibility standard – it’s a readability standard. Text that fails it is harder to read for everyone, not just for people with visual impairments.
Most brand palettes have never been tested against it. Most brand guidelines don’t mention it. And the result is documents that feel slightly harder to read than they should, without anyone being able to articulate exactly why.
Testing contrast takes about two minutes with the right tool. Not testing it is a choice to leave a known problem in place.
Why this is a brand system problem, not a print problem
The pattern I see repeatedly is organisations that have a brand, have guidelines, and have designers who use them – and still produce printed materials that don’t look right. The palette was built for screen. Nobody tested it in print. The CMYK values were never specified. The charts were never checked in greyscale.
These aren’t failures of care. They’re failures of scope. The brand system didn’t account for all the environments the brand would travel through.
A brand built only for screen is half a brand. The organisations whose communications hold up consistently – in print, in PDF, in a projected presentation, in a photocopied handout at a conference – are the ones whose brand systems were built to travel. That means colour values specified for every output format, tested in actual conditions, and documented clearly enough that anyone working with the brand can use them correctly.

what to actually do
If you’re not sure whether your brand colours hold up in print, the fastest test is this: take your most recent report, print it in colour on a standard office printer, and compare it to the screen version. If the colours look noticeably different, you have a problem worth addressing.
The next step is to get your CMYK values properly specified – not auto-converted, but tested and confirmed against a printed proof. If your brand guidelines don’t include CMYK values, add them. If they don’t include guidance on data visualisation colour, add that too.
